EduChores

Terms of Service

Version 1.0 — Last updated: 2026/08/07

1. Introduction and Acceptance of Terms

By creating a School Admin or Teacher account on EduChores (the "Platform", operated by EduChores (operated by Bfjbecker101, sole trader — company registration pending), a company registered in South Africa, registration number [xxxx/xxxxxx/xx]), you agree to these Terms of Service ("Terms") and our Privacy Policy, effective from [Date]. If you are registering on behalf of a school, you confirm you have the authority to bind that school to these Terms.

Age requirement: the Platform is a business tool for schools. Only individuals 18 or older may create a School Admin or Teacher account. Learners never create accounts or log in to the Platform — their information is entered and managed entirely by adult Admins and Teachers, subject to the safeguards in our Privacy Policy.

2. Definitions

  • "User" — any individual with a School Admin or Teacher account.
  • "School" — the educational institution on whose behalf an Admin account is registered.
  • "Learner" — a child whose record is entered into the Platform by a School; not a User and does not hold an account.
  • "Content" — any lesson plan, assessment, activity, letter, template, logo, or learner record entered into or generated by the Platform.
  • "Services" — the Platform's features as described in Section 3.
  • "Personal Information" — as defined in POPIA.

3. Description of the Service

The Platform provides AI-assisted generation of CAPS-aligned lesson plans, assessments, SBAs, extra activities and letters, and tools to manage learner personal, SNA and ISP records across classes, teachers and (with admin approval) between schools.

4. User Eligibility and Responsibilities

  • Users must provide accurate, truthful information when registering and keep it up to date.
  • Users are responsible for keeping their login credentials confidential and for all activity under their account.
  • Users may not use bots, scrapers, or automated tools against the Platform, and may not attempt to reverse-engineer, decompile, or extract the Platform's source code or AI prompting logic.

5. Account Creation and Management

  • A School Admin account is created first and generates a unique School Code; Teacher accounts are created by entering that code, subject to the number of teacher seats the school has paid for.
  • We may suspend or terminate any account that violates these Terms, provides false information, or is used for unauthorised access to another school's data.
  • An account that remains inactive for an extended period may be flagged for review; learner data belonging to an active subscription is not deleted due to a single user's inactivity.

6. Acceptable Use Policy

You agree not to:

  • Use the Platform to store or process learner data without a lawful basis for doing so.
  • Attempt to access, or assist another party in accessing, another school's data.
  • Share your school code publicly or with anyone outside your own school's staff.
  • Harass, upload unlawful content, or infringe another party's intellectual property through the letter generator, chat features, or uploaded templates.
  • Use the Platform for any purpose other than legitimate school administration and teaching support.
  • Attempt to circumvent seat limits, security measures, or subscription/billing gating.

7. Intellectual Property Rights

  • The Platform's underlying software, design, and AI-integration logic are owned by EduChores (operated by Bfjbecker101, sole trader — company registration pending).
  • Each school retains ownership of its own logo, uploaded templates, learner data, and the content of documents it generates using the Platform.
  • By uploading a logo or template, the school grants EduChores a limited, non-exclusive licence to store and use that file solely to render that school's own generated documents — never shared with or shown to another school.
  • Users are responsible for ensuring they have the right to upload any template, letter example, or logo they provide, and must not upload material that infringes a third party's copyright or trademark.

8. Privacy and Data Usage

Use of the Platform is also governed by our Privacy Policy, which explains what personal information is collected, why, and your rights under POPIA. By using the Platform, you agree to the practices described there.

9. Payments and Subscriptions

  • An annual school-profile fee of R[Annual Amount] (ZAR) is payable once every 12 months.
  • A recurring monthly subscription fee of R[Monthly Amount] (ZAR) applies separately, billed to the payment method on file, processed via PayFast.
  • New schools receive a 1-week free trial with full feature access before any payment is required.
  • If either payment fails or lapses, access to document-generation features may be suspended until payment is resolved; learner records are retained during any such suspension and are not deleted for non-payment alone.
  • [Add your specific refund/cancellation policy here.]
  • The school is responsible for any applicable taxes on its subscription.

10. The School's Responsibilities (POPIA Compliance)

As the Responsible Party for learner data entered into the Platform, each school agrees that it:

  • Has obtained appropriate consent from parents/guardians before entering a learner's personal, SNA or ISP information.
  • Will only grant Teacher access to staff who reasonably need it to perform their duties.
  • Will keep its school code confidential and report suspected unauthorised access promptly.
  • Is responsible for the accuracy of information entered into learner profiles, SNA and ISP records.
  • Will appoint its own Information Officer where required by POPIA for the school as an organisation.

11. AI-Generated Content — Important Disclaimer

Lesson plans, assessments, activities and letters generated by the Platform are produced by an AI model guided by uploaded curriculum policy documents (CAPS, ATP, SIAS, NPA, NPRRRR, White Paper 6) and the school's own templates. AI-generated content may contain errors or omissions and must be reviewed and approved by a qualified teacher before use with learners or parents. EduChores does not guarantee that generated content is fully compliant with current curriculum or assessment policy and is not liable for content used without such review.

12. Disclaimers and Warranties

The Platform is provided "as is" and "as available", without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not guarantee the Platform will be uninterrupted, error-free, or free of security vulnerabilities, though we take the security measures described in our Privacy Policy seriously. You use the Platform at your own risk, subject to the protections South African law does not allow us to exclude.

13. Limitation of Liability

To the maximum extent permitted by law, EduChores (operated by Bfjbecker101, sole trader — company registration pending)'s total liability arising out of or relating to these Terms or the Platform shall not exceed the total fees paid by the school in the [3/6/12] months preceding the claim. We are not liable for indirect, incidental, special, or consequential damages, including loss of data, loss of profits, or reliance on AI-generated content without the review required under Section 11. Nothing in these Terms limits liability that cannot lawfully be excluded, including liability arising from our own breach of POPIA as an Operator, or from gross negligence or wilful misconduct.

14. Force Majeure

Neither party is liable for delay or failure to perform obligations under these Terms due to causes beyond its reasonable control, including load-shedding, internet or infrastructure outages, natural disaster, or actions of government.

15. Indemnification

You agree to indemnify and hold harmless EduChores (operated by Bfjbecker101, sole trader — company registration pending), its affiliates, and service providers from any claims, damages, or expenses (including reasonable legal fees) arising from: your breach of these Terms; your school's failure to obtain lawful consent for learner data entered into the Platform; or misuse of the Platform by your Users.

16. Termination

  • A school may terminate at any time by contacting us and requesting account closure; learner data export or permanent deletion can be requested as part of this process.
  • We may terminate or suspend an account for material breach of these Terms, non-payment beyond a reasonable grace period, or unlawful use of the Platform.
  • On termination, access to the Platform ends; learner data is retained for a reasonable period to allow export, after which it is deleted unless a longer retention period is legally required.

17. Beta and Ongoing Development Disclaimer

EduChores is an actively developed product. Features may be added, changed, or removed as the Platform evolves, and early users may encounter bugs or incomplete functionality. We welcome feedback submitted through the Platform, and by submitting feedback you grant us the right to use it to improve the Platform without any obligation to compensate you.

18. Third-Party Services and Links

The Platform relies on third-party infrastructure (Supabase, OpenAI) and a payment provider (PayFast). We are not responsible for the availability, content, or privacy practices of these third parties beyond our contractual arrangements with them.

19. Governing Law and Dispute Resolution

These Terms are governed by the laws of the Republic of South Africa. The parties agree to first attempt to resolve any dispute through good-faith negotiation, and if unresolved within [30] days, the dispute will be subject to the jurisdiction of the South African courts (or, if agreed, mediation/arbitration under [chosen rules]).

20. Changes to These Terms

We may update these Terms from time to time. Material changes will be communicated to School Admins by email or in-app notice before taking effect. Continued use of the Platform after changes take effect constitutes acceptance of the updated Terms.

21. General Provisions

  • Severability: if any provision of these Terms is found invalid or unenforceable, the remaining provisions remain in full force.
  • Entire Agreement: these Terms, together with the Privacy Policy and any Operator Agreement, constitute the entire agreement between you and EduChores (operated by Bfjbecker101, sole trader — company registration pending) regarding the Platform.
  • No Waiver: failure to enforce any provision of these Terms does not waive our right to enforce it later.
